Service Hours Tracking

All of your service hours should be recorded online. Click on the link http://admin.smus.ca/service/ to access the system.

The purpose of this system is to keep a record of your service hours and to give you an opportunity to reflect on your experiences.

Each student is expected to complete 10 hours of off-campus direct service per year at the Senior School.

There are six things you can do with the online system:

1. Input & Edit your service hours into the system (you are responsible for adding your activities)
2. Verify your hours (after you have completed an activity you need to verify the number of hours)
3. Write a reflection about your experiences (this can be completed at the end of a period of visits)
4. View a list of activities that students have taken part in (will help you search for possible activities)
5. See a summary of all your service hours
6. Delete your hours

Once you have entered your hours, they are not “official” until you complete a reflection and verify your hours. From there, Mrs. Parker or Mr. Cook will review your hours and reflection in order to approve them.  Once this is completed then your hours will be official.

Please continue below to access the tracking system and then follow the step by step instructions to enter your hours, edit them, write your reflection and verify your hours, view the list of opportunities, or see a summary of your hours.

Enter your service hours into the system

  1. From the main menu click on “Input Service Hours”.
  2. Choose your service activity from the dropdown menu. If your activity is not already in the system, choose “other” and enter in a category, name and description of the activity as prompted.
  3. Continue to fill in the information. For “Service/Job Title” you want to enter what your job was. For example, Bingo Caller, Course Marshall, Sales Clerk, Info Booth Attendant, Playground Assistant, etc.
  4. Under “Responsibilities” write a short paragraph describing what you did while volunteering.
  5. Contact Name” and “Contact Phone” you only need to enter for activities that are not already in the system.
  6. Enter the start date and end date of your activity. If it is only one day, the start and end date will be the same.
  7. Enter the hours you worked or will be working.
  8. If this is a recurring activity that occurs every day, week, month or on a specific day in the 10 day academic cycle, choose this from the “select period” dropdown menu. Otherwise leave this as “select period”.
  9. Click “Submit”. If you do not do this, all the data will be lost.

Edit your hours

If things have changed since you entered your hours, you can edit your entry.

  1. From the main menu click on “Edit Service Hours”.
  2. From the dropdown menu choose the service hours (by location and date) that you wish to edit. Click on “Edit Service Hours”.
  3. Make the changes.
  4. Click “Save Changes” at the top, or all the data will be lost.

Delete your hours

If you need to completely remove an entry from the system you can delete your hours.

  1. From the main menu click on “Delete Service Hours”.
  2. From the dropdown menu choose the service hours (by location and date) that you wish to delete. Click on “Delete Service Hours”.
  3. The hours have now been removed from the system.

Verify your service hours and write a reflection

  1. From the main menu click on “Verify Service Hours/Reflection”. This must be done in order for the hours to be “Approved or Official”.
  2. From the dropdown menu choose the service hours (by location and date) that you wish to reflect on. Click on “Verify Service Hours/Reflection”.
  3. Write a reflection on your experience. This should be in depth and meaningful. See the “*Tips on writing a reflection” section below to get some ideas on how to do this.
  4. Check the box under “Approved Stdnt”.
  5. Click “Save Changes” at the top, or all the data will be lost.

See a list of the activities that are in the system

This will give you a list of the service activities that are in the tracking system.

  1. From the main menu click on “List Activities”.

See a summary of your service hours

This gives you an overview of all your service hours and which ones have been approved.

  1. From the main menu click on “Service Hours Summary”.

*Tips on Writing a reflection

A big part of service at SMUS is reflecting on your experience. You could talk about:

  • what you learned about yourself and about how you can make a difference
  • what you have learned about volunteering
  • why you chose these particular opportunities
  • what you will remember most about your volunteering opportunity
  • what volunteering means to you
  • your long term volunteer goals
